How automated reconciliation works in four steps

The progress screen you see in the demo is the real engine at work. Here is what it does with your files.

  1. 01 Parse

    Reconciles reads bank statements, invoice lists, ledger exports and payout reports. It finds the date, amount, payee and reference columns and tells you how many lines it read from each file.

  2. 02 Normalize

    Dates, signs, currencies and payee names are brought to one format. A debit of 1,240.00 on one side and a payment of -1240 on the other count as the same amount.

  3. 03 Match

    Exact matches come first. Then Reconciles tries one to many and many to one groups, amounts within your tolerance, date windows, references and fuzzy payee names. Fees and currency conversion are factored in.

  4. 04 Exceptions

    Whatever does not match goes to a short queue sorted by type: unmatched, partial, duplicate, amount difference and date difference. Each item says why it was not matched.

Every match carries a plain-language reason and a confidence score, so your accountant reviews the decision instead of redoing the work. Nothing is posted to your ledger without review.

Month end close in three days

Reconciliation is the step that stalls the close. This is how the first three days look with Reconciles.

  1. Day 1

    Statements and payout reports come in. Reconciles parses every account, matches the bulk of transactions and opens the exceptions queue before lunch.

  2. Day 2

    Your team works the queue, not the spreadsheet. Exceptions are assigned, commented and resolved, and new matching rules are saved for next month.

  3. Day 3

    The controller reviews match rates per account, exports the reconciliation report and the journal entries, and signs off on the close.
